Who may order UT Dallas products?

Only UT Dallas staff and faculty who are authorized by the Procurement Office may make purchases. If you are unsure if you are an authorized purchaser, please contact Dawn Bryant at x2303.

Who qualifies for the negotiated discount?

Impressions Marketing has negotiated special pricing with UT Dallas. This ensures every UT Dallas buyer, no matter the size of the order, will automatically receive a 5% discount off the list price on product.

Exceptions may include custom quotes, which have the discount built in, or orders which require special handling by Procurement.

Is this the only place to order these products?

No. You may order products from any vendor which has been approved by the Procurement Office.

Impressions Marketing has been doing business with the University since 1992 and is one of our most reliable promotional products vendors.

They are licensed with Strategic Marketing Affiliates (SMA) which assures logo usage compliance.

In addition, they have negotiated discounts which are available to all UT Dallas buyers regardless of order size.

How long does it take to receive my order?

After completion and approval of your Initial Sales Order and Artwork paperwork, and receipt of either credit card information, or issuance of a Purchase Order, production of your order will begin.

Most items take approximately 7-10 days for production at the factory plus 2-4 days for UPS Ground shipping.

Expedited production (as fast as 24-hours) and shipping are available on many items; however, there is sometimes an extra charge for rush production and always an extra charge for expedited freight.

Are RUSH orders available?

Often Impressions Marketing can arrange for expedited production and shipping in order to meet even the tightest deadline.

What payment options are available?

You may use your University-issued credit card, or you may obtain a Purchase Order from Procurement. (Refer to Product Ordering Guidelines for more information.)

Is the freight included on my Initial Sales Order?

No, freight is not included in your total on the Initial Sales Order. There will be a freight estimate based on UPS Ground Freight shown, but because this is only an estimate, it is not added to your total at the time of order placement.

If the freight is not included on the Initial Sales Order, when and how is it billed?

After your order has been produced and shipped to UTD Central Receiving, a final invoice is generated which will specify the actual quantity of product shipped and the actual freight cost.

If you have paid with a credit card, Impressions Marketing will make a second charge to your card for the balance due and send a copy of the final invoice to Procurement indicating a zero balance.

If you are using a Purchase Order, a final invoice will be sent to Procurement for payment.

What is an over or under-run?

In the manufacturing of these products, it is not uncommon for the factory to ship +/- 5% of the originally specified order amount. This is most often a result of quality control processes designed to ensure you receive only top quality products in your order.

You will be billed for the actual quantity of product which shipped.

Can my order be delivered to my office instead of to Central Receiving?

No, all orders must be delivered to Central Receiving per UT Dallas Procurement rules. All packages are marked with your name, department, and extension number.

Should you need to check to see if your shipment has arrived, arrange for urgent or delayed delivery, delivery to multiple locations, or other special handling, please contact Central Receiving at x2427.

How are embroidery prices determined?

Pricing for embroidery is based upon the number of stitches in a logo as well as the number of shirts being sewn. Prices shown for shirts do not include the cost of embroidery since this must be quoted on a individual basis. Please contact Bernie Emmons at 469-713-9731 for details.

How are imprinting prices determined?

Products shown in the search screens include one color of imprinting unless otherwise noted. Additional charges apply for multiple locations or multiple colors of imprint.

In addition, use of the UTD orange or green colors often require custom mixing of inks and may incur a color matching charge.
